Below we explain, in plain terms, what personal data we process, why, how long we keep it and how you can exercise your rights.

2. GDPR compliance

We process data in accordance with Regulation (EU) 2016/679 on the protection of natural persons with regard to the processing of personal data (GDPR) and Romanian Law no. 190/2018 implementing it.

Personal data means any information that identifies you or can identify you, directly or indirectly — for example your name, email address, phone number or IP address.

3. Data we collect

Data you give us

When you write through the contact form, email us or call us, we may receive:

  • your last and first name;
  • your email address;
  • your phone number;
  • your entity type (SRL, PFA, NGO, etc.) and main activity;
  • the content of your message;
  • for the form: the consent tick, the date and time consent was given and the version of the notice you accepted.

Data collected automatically

  • your IP address, browser type and operating system, recorded in the technical logs of our hosting provider (Netlify, Inc.) when you visit the site;
  • the Google map on the home page loads only if you consent in the cookie banner; only then does Google receive your IP address and may set cookies.

4. Legal basis

  • Enquiries and quotes: steps taken at your request before entering into a contract (Art. 6(1)(b) GDPR), together with the consent you give through the form's tick box (Art. 6(1)(a) GDPR);
  • Client contracts: performance of the service contract (Art. 6(1)(b) GDPR);
  • Legal obligations: compliance with accounting and tax law and client identification under Romanian anti-money-laundering Law no. 129/2019 (Art. 6(1)(c) GDPR);
  • Site security: our legitimate interest in protecting the site from abuse (Art. 6(1)(f) GDPR);
  • Google map on the home page: your consent, given in the cookie banner, under Romanian Law no. 506/2004 and the GDPR.

5. How long we keep data

  • Enquiries that do not lead to a contract: 6 months after our last contact, after which we delete them.
  • Client documents: for the duration of the contract and then for the periods required by Romanian Accounting Law no. 82/1991 and Law no. 129/2019.

6. Disclosure of data

We do not sell your data and do not pass it on to anyone. It may be received only by:

  • processors working on our behalf: our hosting provider (Netlify, Inc.), our email service (Google (Gmail)) and the service that delivers contact-form messages (Web3Forms), under contract and only for the purposes above;
  • public authorities, where the law requires it — for example ANAF (the tax authority), ITM (the labour inspectorate), courts or prosecutors;
  • other third parties, only with your explicit consent.

Transfers outside the EU/EEA. Some of the providers above (Netlify, Inc., Google) are US companies, so data may be transferred outside the European Economic Area. These transfers rely on the adequacy decision for the EU-US Data Privacy Framework or, where applicable, on the standard contractual clauses approved by the European Commission.

7. Your rights

Under the GDPR you have the right to:

  • withdraw your consent at any time by writing to valvio.contexpert@gmail.com, without affecting the lawfulness of earlier processing;
  • access your data;
  • have inaccurate data rectified;
  • have your data erased;
  • restrict processing;
  • data portability;
  • object to processing, including the right not to be subject to a decision based solely on automated processing;
  • lodge a complaint with the Romanian National Supervisory Authority for Personal Data Processing (ANSPDCP), B-dul G-ral Gheorghe Magheru 28-30, Sector 1, Bucharest, www.dataprotection.ro.

We reply to requests within one month of receipt. For complex requests this may be extended by two further months, in which case we will let you know.

8. Data security

We protect data with appropriate technical and organisational measures:

  • confidentiality obligations for staff
  • regular backups
  • collecting only the data that is strictly necessary
  • data protection clauses

9. Our clients' data

For our accounting and payroll services we process, on behalf of our clients, data about their employees and business partners — for example for the D112 declaration or the general employee register (REGES, formerly REVISAL).

In these cases the client is the controller and we act as a processor, under a data processing agreement.

As members of the Body of Expert and Licensed Accountants of Romania (CECCAR), authorisation no. 12250, we are bound by professional secrecy for all information received from clients.
